Privacy Policy

This Privacy Policy explains how iDownsize Services Pty Ltd trading as Proudli handles personal information in connection with Proudli. We comply with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and Australian Privacy Principles where they apply to us.
1. Scope
This Policy applies to visitors, Professionals, Contributors, Organisation Users and other people whose personal information is included in Proudli. It also applies where Proudli creates or maintains a professional profile from lawful public or third-party sources before the person claims an account.
2. Personal information we may collect
Identity and account information: name, contact details, authentication details, account identifiers, profile image and age/eligibility confirmation.
Professional information: employer or agency, role, career history, licences, qualifications, service areas, professional profiles, websites, social accounts and public professional activity.
Proof Story information: transactions, projects, dates, locations, roles, counterparties, services, outcomes, participant confirmations, endorsements and supporting evidence.
Verification information: identity or role verification results, fraud-prevention signals and information used to confirm involvement in a transaction or project. We should avoid retaining copies of identity documents longer than reasonably necessary where a verification provider can instead return a verification result.
Platform and device information: IP address, device/browser data, login records, cookies or similar technologies, interactions and security logs.
Commercial information: subscription, billing, invoices, plan information and payment status. Full card data should ordinarily be handled by our payment provider rather than stored by Proudli.
Communications: support requests, correction requests, complaints, appeals, survey responses and other correspondence.
Public and third-party information: information from public registers, regulators, licensed data providers, property or transaction sources, professional sites and other lawful sources.
3. How we collect information
We may collect information directly from you; from other Proudli users participating in a Proof Story; from your organisation where appropriate; from identity and verification providers; from public registers and public sources; from licensed data providers; from integrated services you authorise; and automatically through use of the Platform.
4. Why we collect and use personal information
We use personal information to provide and secure accounts; create and display profiles; create, verify and maintain Proof Stories; authenticate identity or professional role; calculate evidence indicators, points, badges and rankings; detect fraud or manipulation; enable search and discovery; generate summaries and insights; operate subscriptions; respond to corrections and disputes; moderate content; comply with law; improve the service; communicate about the service; and, with appropriate permissions or as otherwise allowed by law, send marketing communications.
5. Public professional profiles
Some Proudli information is intended to be public, including professional identity, professional role, selected career information, Proof Stories, contribution summaries, verification indicators, badges, points, rankings and other profile information. We will distinguish public information from private account information in the product where reasonably practicable.
A person may appear on Proudli based on lawful public or third-party information before claiming an account. Claiming a profile does not necessarily give a right to delete independent, lawful and accurate information, but access and correction rights may apply.
6. Contributor information and privacy
Contributors should not provide private information about another person unless it is necessary, relevant and lawful to do so. Proudli may limit what contributor identity information is displayed publicly while retaining sufficient information to support verification, fraud prevention and complaint handling.
Where Proudli offers initials, role labels or other limited public attribution, Proudli may still know the contributor’s verified identity internally.
7. Verification and fraud prevention
We may use personal information to verify identity, role, employment, licence status, professional participation, transaction involvement and account integrity. Verification may involve third-party providers, public registers, transaction data, document review and confirmation by other participants.
We may retain fraud-prevention and integrity records for a reasonable period even after account closure where necessary to prevent repeat abuse, investigate disputes, protect users or comply with law.
8. Automated processing and AI
Proudli may use computer programs, algorithms and AI to classify evidence, identify entities, match transactions, detect duplicates, identify suspected manipulation, summarise evidence, assist with scores and rankings, categorise professional activity and support search or recommendation functionality.
From 10 December 2026, where the Privacy Act provisions on automated decisions apply to Proudli, this Policy is intended to disclose the kinds of personal information used and the kinds of relevant decisions or decision-related processes. Proudli should keep this section aligned with the actual production system and legal guidance in force at launch.
Personal information potentially used by automated systems may include profile information, Proof Story data, verification status, contribution history, transaction characteristics, platform activity and integrity/fraud signals.
Automated or substantially automated outputs may include verification routing, fraud-risk flags, content-review prioritisation, inclusion or exclusion of evidence from calculations, evidence-strength indicators, points, badges, rankings and profile summaries. Where an automated outcome could materially affect a person’s profile or standing, Proudli should maintain an appropriate process to report errors or request review.
9. Disclosure of personal information
We may disclose personal information to service providers supporting hosting, security, analytics, communications, payment processing, identity verification, data enrichment and customer support; to other Proudli users where required for the relevant feature; to professional advisers; to regulators, law-enforcement or courts where required or authorised by law; and to a purchaser or successor in connection with a genuine corporate transaction subject to appropriate protections.
Public profile information and Contributions intended for publication may be disclosed publicly through Proudli and authorised widgets.
10. Overseas disclosures and service providers
Some technology or service providers may process data outside Australia. Before launch, Proudli must identify the countries or likely countries involved where required by applicable law and insert them here: United States, United Kingdom, Europe, Canada. We will take reasonable steps required by applicable privacy law in relation to overseas disclosure.
11. Direct marketing
We may send marketing where permitted by law. Electronic marketing will include required unsubscribe functionality. Service messages necessary to operate an account are not marketing merely because they are delivered electronically.
12. Cookies and analytics
Proudli may use cookies, pixels, local storage and analytics technologies to maintain sessions, secure accounts, remember preferences, understand product use and measure marketing. A cookie notice or consent mechanism should be implemented where appropriate to the technologies actually used.
13. Data quality and correction
We take reasonable steps appropriate to the circumstances to maintain the quality of personal information. You may request correction of personal information using hello@proudli.com.au. Proudli may request evidence and may preserve a record that information was disputed or corrected where reasonably necessary.
14. Access
Where applicable, you may request access to personal information we hold about you. We may need to verify your identity. Exceptions permitted by law may apply.
15. Security
We use reasonable administrative, technical and organisational safeguards appropriate to the nature of the information and risks. No internet service is completely secure. Users should protect account credentials and report suspected compromise promptly.
16. Retention and deletion
We retain personal information for as long as reasonably needed for the purposes for which it was collected, legal and accounting obligations, legitimate historical records, fraud prevention, content disputes and enforcement. Account closure does not necessarily require deletion of independent Contributions, public-source information or historical Proof Stories.
Retention schedules should be documented internally for identity evidence, verification records, account data, transaction evidence, complaints and security logs.
17. Data breaches
Where the Notifiable Data Breaches scheme applies, Proudli will assess suspected eligible data breaches and notify affected individuals and the OAIC where legally required.
18. Complaints
Privacy questions and complaints may be sent to hello@proudli.com.au. We will investigate and respond within a reasonable period. Where applicable, you may also have a right to complain to the Office of the Australian Information Commissioner.
19. Changes to this Policy
We may update this Policy to reflect changes in law, technology and Proudli. Material changes will be communicated where appropriate.
